Finishing a Transaction

When you have completed the details on the transaction on the sales screen, select Finish from the left menu.

This will take you to the Finish screen where it will be in one of the following modes depending on the current transaction or the default settings if it is a new transaction:

Invoice

Sales Order

Estimate

Book to Job

Internal

The transaction will only be saved and the lines updated once you have clicked Save and Print or Save No Print.


Invoice

On the Finish screen Invoice mode you can specify one or more Payment Method(s). You can have up to four different split payment methods on an Invoice (In addition to Trade-Ins).

You can configure any number of Payment Methods in Evopos. See the Sales Payment Methods for more information about the different payment types.

If for example the customer had an invoice for 135.00 and they wanted to pay 100.00 on credit card and the balance by cash, they would enter 100.00

Settlement by other contacts

You may sometimes need to arrange for the invoice (or part of it) to be paid (financed) by a third party company (such as Finance or Insurance companies).

Depending on the type of transaction or finance a company may require the invoice in their name. In this case change the Invoice To name on the previous main sales screen and leave the customer in the Deliver To. This ensures the history of the unit will be allocated to the 'Deliver To' contact.

On the Finish screen we can select different contacts the payment is due from. You can change the Contact, Due date and Amount for Payment 1, Payment 2 and Payment 3. Just type in the name, then press Enter to search for it.

Enter the amount that is being paid by another company select Account as a payment method if it is not being paid now. This will mark the amount due from that contact’s account for payment at a later date.

When the contact pays the amount, you can find their contact record in Contacts, select Payments, tick the allocate box next to the invoice(s) they are paying, select a payment method at the top and click save.

If there is more balance to clear, take a payment as normal, then click Save to finalise the sale.


Sales Orders

In the Sales Order mode, you can receive money against a sales order and change Print options When you receive money against a sales order (normally called Lay-By), it should show what has previously been paid against this sales order and you can enter additional payments. When the customer has paid the total amount the system will prompt if you want it to automatically convert it to an Invoice. If you manually convert it to an invoice you will need to leave any amounts pre-paid on account. If in doubt put it all on account and sort the money out in Payments received.

There are different printed formats for Sales Orders.  Some can have pictures and long descriptions, some have terms and conditions to be used as Vehicle sales contracts.

There are different printed formats for estimate. Some do not show part numbers (to make it more difficult for comparative quotes). Some can have pictures and long descriptions and be used as order confirmations.
