HQ Updating data

Branches (Remote Divisions) can update to and from the HQ database.

You can set the system to update automatically after each sale or every so many minutes or hours using the Scheduler. These Automated methods only update Sales and Organiser records. To ensure everything is updated please run a Manual update

You can also update manually.

In Evopos Touch to update manually select Options /  Update HQ.

In Evopos Desktop to update manually select Settings / System / General /  Update HQ.

HQ Update will do the following:

Update Contacts from Branch to HQ - Any new Contacts created, or any Contacts modified at the Branch since the last update, will be updated to HQ. If also updated in HQ since the last update, then it will not update so the HQ changes will be kept. Note: The Customer Numbers at each Branch must have their Next Numbers set so we do not overlap in numbers (Set Next Numbers in Settings / System / Next Numbers)

Update Sales and Payments from Branch to HQ - All sales and payments with a date since the last updated date  will be updated to HQ. Note: If the HQ Store is set to 1 it will also reduce the Qty In Store at HQ for the items sold

Update Sales Orders from Branch to HQ - This is an optional step. If activated it will update any Sales Order modified since the last Update date on the Branch to HQ so long as the Sales Order Number does not exist at HQ. For this to work each Branch must have a different series of numbers that is different to HQ and other Branches (Set Next Numbers in Settings / System / Next Numbers)

Update Batches (End of Shift - Z) from Branch to HQ - Any Batches with a modified date since the last updated date will be updated to HQ

Update Operator Logs from Branch to HQ - Any Operator Logs with a modified date since the last updated date will be updated to HQ

Update Organiser Logs from Branch to HQ - Any Organiser Logs with a modified date since the last updated date will be updated to HQ

Update Stock Qtys from Branch to HQ - Any stock records with a modified date since the last updated date will be updated to HQ. Note: Will not do this if the HQ Store is set to 1

Update Prospect Actions from Branch to HQ - Any Prospect Actions with a modified date since the last updated date will be updated to HQ

Update Operators from HQ to Branch - Any Operators with a modified date since the last updated date will be updated to every Branch. It will also remove operators not currently in the HQ database. Note operators in every database should have the same ID.

Update Commission Schemes from HQ to Branch - Any Commission Schemes with a modified date since the last updated date will be updated to every Branch.

Update Stock Items from HQ to Branch - Any Stock Items with a modified date since the last updated date will be updated from the Store assigned to that  Branch in HQ to the Branch. If the Part Number does not exist it will create it. If the Part Number does exist it will update the following fields: Description, Cost, Retail, Minimum Price (UserDefined1), Category, Location, Picture_ID, Active. If the Category Name does not exist it will create it at the Branch. Note: If the HQ Store is set to 1 it will also update the Branch store the the Qty In Store from HQ.

Update Stock Actions from HQ to Branch - Any Actions (Kits etc) with a modified date since the last updated date will be updated to every Branch. Note: At the moment only the first Action is updated. You can ensure a Stock Item in HQ is re-sent by selecting a stock Item and select Edit, then Save to update the Modified Date

Update Contacts from HQ to Branch - Any Actions with a modified date since the last updated date and the Sync option in Contact Persons ticked, will be updated to every Branch.

Update Pictures from HQ to Branch - Any Pictures with a modified date since the last updated date will be updated to every Branch. The Picture ID in each Branch needs to be the same as the Picture ID in HQ. You can ensure Pictures are re-sent by going into the Picture Library in HQ, selecting the appropriate picture(s) and select Edit, then Save to update the Modified Date. There is a 'Set Date' option to set the modified date of all pictures to the current date, but be aware this will re-update them to all branches.

If the data is not updating as expected please ensure the Date and Time are the same on HQ and the Branch
